Welcome to DeskCentral ("Platform", "Service", "we", "us", or "our"). DeskCentral is a cloud-based Document Management System (DMS) providing secure file storage, document collaboration, OCR search, workflow automation, and related SaaS services.
DeskCentral is operated by House of PY Technologies, a technology company registered in India. These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("User", "Customer", "you") and DeskCentral governing your access to and use of our platform, services, applications, and associated features.
By accessing or using DeskCentral, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you are using DeskCentral on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
2. Acceptance of Terms
By creating an account, accessing the platform, or using any DeskCentral service, you expressly agree to these Terms and Conditions, our Privacy Policy, and any additional guidelines or policies referenced herein.
If you do not agree to any part of these Terms, you must immediately discontinue use of the platform and terminate your account.
Your continued use of DeskCentral following any modifications to these Terms constitutes acceptance of the revised Terms.
3. Eligibility & Account Registration
- You must be at least 18 years of age or the age of legal majority in your jurisdiction to use DeskCentral.
- You must provide accurate, complete, and current information during registration.
- Each user account must be associated with a valid email address.
- You are responsible for maintaining the confidentiality of your account credentials.
- You must immediately notify DeskCentral of any unauthorized access to your account.
- DeskCentral reserves the right to refuse registration or terminate accounts at its sole discretion.
- Organization administrators are responsible for managing user access within their workspace.
4. User Responsibilities
- Maintain the security and confidentiality of your login credentials.
- Ensure all activities under your account comply with applicable laws and these Terms.
- Maintain independent backups of critical business documents.
- Use the platform only for lawful business purposes.
- Report any security vulnerabilities or breaches immediately.
- Comply with all applicable data protection and privacy regulations.
- Ensure that content uploaded does not infringe upon third-party intellectual property rights.
5. Subscription Plans & Service Usage
DeskCentral offers multiple subscription tiers designed to meet varying business needs:
- Free Plan — Limited storage and features for evaluation purposes.
- Starter Plan — Essential features for small teams and individual professionals.
- Professional Plan — Advanced features including OCR, enhanced storage, and priority support.
- Business Plan — Full-featured plan for growing organizations with team collaboration needs.
- Enterprise Plan — Custom solutions with dedicated support, SLA guarantees, and private deployment options.
Each plan includes specific allocations for storage, users, OCR processing, document sharing, and other features as described on our pricing page. DeskCentral reserves the right to modify plan features and introduce new plans with prior notice.
6. Storage Allocation & Usage Limits
- Storage limits are enforced according to the subscribed plan.
- Exceeding storage limits may result in restrictions on uploading new documents until storage is freed or the plan is upgraded.
- DeskCentral reserves the right to implement fair-use policies to prevent abuse of storage resources.
- Deleted files may be retained in trash for a limited period before permanent deletion.
- Storage usage is calculated based on the original file size of uploaded documents.
7. User Content Ownership
- Users retain full ownership of all uploaded documents, files, and content.
- DeskCentral does not claim any ownership rights over customer data or uploaded content.
- By uploading content, you grant DeskCentral a limited license to store, process, and display your content solely for the purpose of providing the service.
- DeskCentral may access user data only when required for: customer support (with user consent), security investigations, legal compliance, or system maintenance.
- Upon account termination, users may request export of their data within 30 days.
- Users are solely responsible for maintaining copies of critical business documents.
8. Data Security & Privacy
DeskCentral implements industry-standard security measures to protect your data:
- AES-256 encryption for data at rest.
- TLS 1.3 encryption for data in transit.
- Tenant isolation ensuring strict data separation between organizations.
- Role-based access control (RBAC) for granular permission management.
- Complete audit trails for all document access and modifications.
- Regular security assessments and vulnerability testing.
- Secure, signed download URLs with expiration.

9. Acceptable Use Policy
You agree to use DeskCentral only for lawful purposes and in accordance with these Terms. Acceptable use includes:
- Storing and managing legitimate business documents.
- Collaborating with team members and clients on document workflows.
- Using OCR and search features for document retrieval.
- Sharing documents through authorized sharing mechanisms.
- Managing client document portals for professional services.
10. Prohibited Activities
The following activities are strictly prohibited on DeskCentral:
- Uploading illegal, infringing, malicious, harmful, or prohibited content.
- Distributing malware, viruses, or any harmful code.
- Attempting to gain unauthorized access to other users' accounts or data.
- Using the platform for illegal file sharing or piracy.
- Circumventing storage limits or usage restrictions through technical means.
- Reselling or sublicensing access to DeskCentral without authorization.
- Using automated tools to scrape, crawl, or extract data from the platform.
- Engaging in activities that degrade platform performance for other users.
- Storing content that violates applicable laws, including but not limited to child exploitation material, terrorist content, or content promoting violence.
Violation of these prohibitions may result in immediate account suspension or termination without refund.
11. Intellectual Property Rights
- The DeskCentral platform, including its software, design, logos, trademarks, and documentation, is the exclusive intellectual property of House of PY Technologies.
- Users are granted a limited, non-exclusive, non-transferable license to use the platform during their active subscription.
- No part of the platform may be copied, modified, distributed, or reverse-engineered without prior written consent.
- User feedback and suggestions may be used by DeskCentral to improve the platform without obligation or compensation.
12. Subscription Billing & Payments
- Subscription fees are charged in advance on a monthly or yearly basis depending on the selected billing cycle.
- All prices are listed in Indian Rupees (INR) unless otherwise specified.
- Payments are securely processed through authorized payment gateways including Razorpay.
- Users authorize DeskCentral to charge the designated payment method for subscription fees.
- Users authorize recurring billing for renewable subscription plans.
- Taxes, GST (Goods and Services Tax), and other applicable government charges will be added where required by law.
- DeskCentral reserves the right to modify pricing with a minimum of 30 days prior notice to active subscribers.
- Price changes will apply at the next billing cycle following the notice period.
13. Auto-Renewal Policy
- All paid subscriptions automatically renew at the end of each billing period unless cancelled prior to renewal.
- Renewal charges will be applied at the then-current subscription rate.
- Users will receive email notification prior to renewal.
- Users may disable auto-renewal at any time through their account settings.
- Disabling auto-renewal will not affect the current billing period — services continue until expiration.
14. Upgrade & Downgrade Policy
- Users may upgrade their subscription plan at any time. Upgrades take effect immediately.
- Upon upgrade, the prorated difference will be charged for the remainder of the current billing period.
- Users may downgrade their subscription plan at any time. Downgrades take effect at the start of the next billing period.
- Upon downgrade, if current usage exceeds the new plan's limits, users must reduce usage before the downgrade takes effect.
- No refunds are provided for the difference between plans upon downgrade.
15. Cancellation Policy
- Users may cancel their subscription at any time through their account settings or by contacting support.
- Upon cancellation, services will continue until the end of the current billing period.
- No partial refunds will be provided for unused subscription periods.
- After the billing period ends, the account will be downgraded to the Free plan (if available) or deactivated.
- Users may export their data within 30 days of cancellation.
- After 30 days post-cancellation, data may be permanently deleted in accordance with our data retention policy.
16. Refund Policy
- Subscription charges are non-refundable except where required by applicable law.
- No partial refunds will be provided for unused subscription periods.
- Refund requests for exceptional circumstances may be submitted to our support team and will be evaluated on a case-by-case basis.
- If DeskCentral terminates your account due to a breach of these Terms, no refund will be provided.
- In the event of extended service outages exceeding our SLA commitments (for Enterprise plans), service credits may be issued at DeskCentral's discretion.
- Chargebacks or fraudulent payment disputes may result in immediate account suspension pending investigation.
17. Failed Payments & Account Suspension
- If a payment fails, DeskCentral will attempt to process the payment up to 3 additional times over a grace period.
- Users will be notified via email of failed payment attempts.
- If payment remains unsuccessful after the grace period, the account may be suspended.
- During suspension, users will have read-only access to their documents but cannot upload new content.
- Accounts suspended for more than 30 days due to non-payment may be terminated.
- Failed or overdue payments may result in suspension or termination of service access.
- DeskCentral reserves the right to engage collection services for outstanding amounts.
18. Service Availability & Maintenance
- DeskCentral strives to maintain high availability but does not guarantee uninterrupted service or 100% uptime.
- Scheduled maintenance will be communicated in advance via email or in-app notifications.
- Emergency maintenance may be performed without prior notice to address critical security or stability issues.
- DeskCentral shall not be liable for service interruptions caused by factors beyond our reasonable control, including but not limited to natural disasters, internet outages, or third-party service failures.
- Enterprise plan customers may be eligible for Service Level Agreements (SLAs) with specific uptime guarantees.
19. Third-Party Services & Integrations
- DeskCentral may integrate with third-party services including payment processors (Razorpay), cloud storage providers, and communication tools.
- Use of third-party services is subject to their respective terms and privacy policies.
- DeskCentral is not responsible for the availability, accuracy, or reliability of third-party services.
- Third-party integrations may be modified or discontinued at DeskCentral's discretion.
20. Limitation of Liability
- DeskCentral shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill.
- Maximum liability shall not exceed the total subscription fees paid by the customer during the preceding 12 months.
- DeskCentral does not warrant that the service will be error-free, uninterrupted, or free from security vulnerabilities.
- Users acknowledge that cloud services carry inherent risks and agree to maintain independent backups of critical data.
- This limitation applies regardless of the legal theory under which liability is asserted.
21. Indemnification
You agree to indemnify, defend, and hold harmless DeskCentral, its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising from:
- Your use of the platform or violation of these Terms.
- Content you upload, store, or share through the platform.
- Your violation of any applicable law or third-party rights.
- Any unauthorized use of your account.
22. Termination of Service
- DeskCentral may suspend or terminate your account immediately if you violate these Terms.
- DeskCentral may terminate accounts that remain inactive for an extended period (12+ months on free plans).
- Upon termination, your right to access the platform ceases immediately.
- DeskCentral will provide a reasonable period (minimum 30 days) for data export upon termination, except in cases of Terms violation.
- Provisions that by their nature should survive termination (including limitation of liability, indemnification, and governing law) shall survive.
23. Governing Law & Jurisdiction
- These Terms shall be governed by and construed in accordance with the laws of India.
- Any disputes arising from these Terms or your use of DeskCentral shall be subject to the exclusive jurisdiction of the courts in Surat, Gujarat, India.
- The parties agree to attempt resolution through good-faith negotiation before pursuing legal remedies.
- If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
24. Changes to Terms
- DeskCentral reserves the right to modify these Terms at any time.
- Material changes will be communicated via email or prominent notice on the platform at least 30 days before taking effect.
- Continued use of the platform after changes take effect constitutes acceptance of the revised Terms.
- Users who do not agree with modified Terms may terminate their account before the changes take effect.
